What are tags?

What are tags?

Tags are labels that you can apply to applications in your program. They help to:

  • Group similar applications together
  • Speed up search and filtering
  • Move applications between reviewing stages
  • Automatically assign badges, certificates, and other actions.

Tags are flexible and can be manually or automatically applied.

Configure a tag

Tags can be created via the Settings menu or off-the-cuff while tagging an application (see next section). 

  1. In the Manage workspace, go to Settings > General > Tags
  2. Click Add tag
  3. Input the Tag (for example, "Finalist")
  4. If desired, choose an Automatically apply tag when checkbox (see the Automated tagging: triggers section for more details)
  5. Click Save when finished

Tagging applications

Tags can be applied to entries by managers in a few different ways.

Instructions

Via the Applications list view

  1. Navigate to Applications in the Manage workspace
  2. Select the checkbox next to your desired application(s)
  3. Open the Action drop-down and choose Tag
  4. Type in your Tag name--if the tag was previously created it should appear when you begin typing
  5. Hit Enter or Return on your keyboard
  6. Click Tag 

Via the manager's view and application preview

  1. Go to Applications in the Manage workspace
  2. Click on the name or ID of your desired application
  3. in the 'Overview' or 'Application' tab, click into the Application tags field
  4. Type in your tag(s)
  5. Hit Enter or Return on your keyboard

Via the reviewing view

When a manager is assigned an application to review, they can apply tags directly from that reviewing page. 

  1. Go to the Review workspace
  2. Click on an application to evaluate
  3. Scroll to the bottom to find the Application tags field 
  4. Type in your tag(s)
  5. Hit Enter or Return on your keyboard

Removing tags

Tags can be removed from an application in bulk or individually from the same areas they're applied. 

In the Applications list view, select the checkbox next to the application you'd like to remove the tag from, open the Action drop-down and choose Remove tag. In the Remove tag field that appears, key in the tag and then click the Remove tag button. 

In the areas where an 'Application tags' module displays, like the manager or reviewer view, simply click the X that appears next to the tag. 

Automated tagging: triggers

When creating a tag, you can configure it to apply automatically based on system actions or status changes. Available triggers include:

Trigger Action Notes

Action stage

The act of an action flow being assigned to an application and the decision of the task recipient.
  • Started: the action flow task has been assigned.
  • Proceed: the task recipient has opted to proceed in the action stage.
  • Stopped: the task recipient has opted not to proceed in the action stage. 

Application archived manually

The action of an application being manually archived  

Application duplicate confirmed

The action of an application being marked as a duplicate of another submission.
  • As primary: the application has been marked as the primary application of any duplicates.
  • As secondary: the application has not been marked as the primary of the available duplicates.

Application moderated

The action of an application being moderated

A moderation status has been applied to the application:

  • Approved
  • Rejected
  • Undecided

Application resubmitted

The action of an application being resubmitted.  

Application submitted

The action of an application being submitted.   

Application tagged

The act of an application being tagged.  

Assignment completed

The action of a reviewer completing their assignment in the selected score set. Checkboxes appear for each configured score set.

Assignment created

The action of a reviewer being assigned an application in the selected score set. Checkboxes appear for each configured score set.

Grant report

The action of a grant report being assigned to an application.
  • Grant report submitted: the grant report has been completed and submitted.
  • Grant report scheduled: the grant report has been assigned to an application and scheduled.

Payment pending

The act of a payment to an applicant being pending.   

Payment success

The act of a payment to an applicant being successful.  

Automated tagging: optionable fields

Tags can be automatically applied based on an applicant's selections in optionable fields like a checkbox lists or drop-downs. 

  1. In the Manage workspace, go to Applications
  2. Click Edit form and choose your desired form
  3. Configure a new optionable field or edit an existing one 
  4. In the 'Options' section, toggle on Auto-tag
  5. Specify a Label and Value
  6. Click Save when finished

When an applicant submits their application, the selected value(s) will apply the corresponding tag automatically. This can be useful for quickly filtering to view demographic information, routing applications to the proper reviewing panels, and more.

How are tags used in reviewing? 

Tags can be used a multitude of ways when configuring reviewing, but are most frequently used to group like submissions together or move entries between reviewing stages.

Good to know

  • Tags can consist of multiple words or phrases.
  • You can apply multiple tags to a single application. 
  • Tags are seasonal in Good Grants--deleting a tag in your current season will not impact previous seasons.
