Moving applications between reviewing stages and selecting winners

 

For programs with multiple stages of reviewing, you’ll eventually need to move applications between stages and select your winners. This guide explains how to monitor reviewing progress, shortlist finalists, and name your winner(s).

Check reviewing progress

As a reviewing stage nears completion, you can track your reviewers' progress:

  1. In the Manage workspace, go to Reviewing > Progress
  2. Review each score set to see the number of assigned applications and the completion percentage for each reviewer

Review reviewing results

To see overall results:

  1. In the Manage workspace, go to Reviewing > Leaderboard
  2. View applications by score, votes, or other metrics 
  3. Click a column title to reorder results as needed

Tag applications to record reviewing outcomes

Good Grants gives you full flexibility in determining shortlists, finalists, and winners. You can apply tags to applications to record outcomes, which can then be used to:

  • Move applications to another reviewing stage
  • Trigger awards like badges or certificates
  • Control which applications appear in galleries

Progress finalists or shortlisted applications to another stage

  1. In the Manage workspace, go to Reviewing > Leaderboard
  2. Select the applications you want to move forward
  3. Click Tag
  4. Enter a tag name that represents the outcome (e.g. Finalist)
  5. Click Tag
  6. Go to Reviewing > Settings > Panels
  7. Click New panel
  8. In the 'Applications' section, select the relevant category(ies) and the tag you just created
  9. This ensures the panel only includes those tagged applications
  10. Configure the remaining panel settings — see Create a reviewing panel for guidance
  11. Click Save

Apply tags to indicate reviewing outcomes

  1. In the Manage workspace, go to Reviewing > Leaderboard
  2. If your program uses more than one form or score set, choose the correct one from their respective drop-downs
  3. Filter by category using the search filter
  4. Select the checkboxes next to the applications you want to tag
  5. Click Tag
  6. Enter your tag name (e.g. Winner)
  7. Click Tag
  8. Repeat as needed for each category

Good to know

  • For programs on the Premium plan and above, you can use the broadcast feature to remind reviewers to complete their assignments in the progress view. 
  • If new scores are submitted, you may need to recalculate the leaderboard to refresh results. 
  • Each reviewing stage requires its own score set and round.
  • Tags can be used to organise, filter, and automate net steps for applications.
  • Tags can also be used for gallery display, automated notifications, and reporting.
