Configure a gallery

 

Galleries allow you to display selected applications to:

  • Registered users
  • Specific roles
  • The general public

Galleries are non-seasonal and can be used to display current grantees or archived applications with ongoing visibility.

Although not part of reviewing, galleries are configured in a similar way and use the same core components:

  • A gallery score set
  • A panel to define visibility
  • Role permissions (if required)

For logged-in users, a correctly configured gallery appears in the navigation menu. If only one gallery exists, it appears under its score set name. If multiple galleries exist, they appear under a "Galleries" heading.

Public galleries can be accessed directly via URL and linked from your website or login page.

Create a gallery score set

  1. In the Manage workspace, go to Reviewing > Settings > Score sets
  2. Click New score set and select your form
  3. Enter a name (this appears in the menu)
  4. Select Gallery as the reviewing mode
  5. Set optional start and end dates
  6. Open the 'Display' tab
  7. Select which fields should be visible in the gallery
  8. Configure commenting options if required
  9. Click Save

Create a gallery panel

The panel defines which applications are displayed and who can see them.

  1. In the Manage workspace, go to Reviewing > Settings > Panels
  2. Click New panel and select your form
  3. Enter a meaningful panel name
  4. Select Gallery mode and choose your gallery score set
  5. In the 'Applications' section, define included chapters, categories, and/or tags
  6. In the 'Who' section, choose who can access the gallery
  7. Click Save

Make a gallery public

To make a gallery accessible without login, configure the panel to allow the guest role.

Then confirm role permissions:

  1. In the Manage workspace, go to Settings > Users > Roles
  2. Click Guest
  3. Ensure Guest account role for anonymous users is selected
  4. Click Advanced
  5. Set Scores (own) View permission to Allow
  6. Click Save

Public galleries will appear on your program login page.

Is there a limit to the number of galleries?

No. You can create unlimited gallery score sets.

Can access be restricted?

Yes. Panels allow you to restrict access by role or specific users.

Does each gallery have its own URL?

Yes. Each gallery automatically generates a unique URL.

Can we embed a gallery on our website?

Galleries must live within Good Grants. You can link to them directly.

Can we add banners or labels to applications?

Yes. Use badges to display banners on applications.

Which image appears in the gallery?

By default, the first uploaded image is used as the thumbnail, but thumbnails can be customised. To learn more see Application thumbnails.

Can we hide parts of a submission?

Yes. Field visibility is controlled in the gallery score set 'Display' tab.
