Deleting your program's personally identifiable information (PII)

Depending on privacy and data protection regulations in your region, or your organisation’s legal requirements, you may need to permanently delete personally identifiable information stored in your account.

Good Grants provides three deletion options:

  • Permanent deletion of users
  • Permanent deletion of an application
  • Permanent deletion of a season

Each option removes different data. Some overlap exists between them. The sections below explain what each option removes and link to detailed guides.

Permanent deletion of users

Permanently deleting a user gives you three choices:

  • Delete the user’s personal data while keeping their applications and reviewing data
  • Delete the user’s personal data and applications while keeping reviewing data
  • Delete the user’s personal data, applications, and reviewing data

This option is the most flexible way to meet data erasure requests. For full details on each choice, see Permanent deletion of users.

Permanent deletion of an application

When permanently deleting an application, you can choose to:

  • Delete the application while keeping related reviewing data
  • Delete both the application and all related reviewing data

This option is useful when you need to remove a specific submission without affecting the wider season. Learn more in Permanent deletion of an application.

Permanent deletion of a season

Permanently deleting a season removes all season-based configuration and data, including:

  • Categories and chapters
  • Tabs and fields
  • Applications and uploads
  • Reviewing data and results
  • Action stages and tasks

Good to know

  • Permanent deletion can only be performed by the account owner.
  • Users can be permanently deleted in bulk, applications cannot.
  • If you need to remove all personal data, permanently delete users in bulk and choose to wipe their applications.
  • Applications are deleted one at a time unless removed via bulk user deletion.
  • Permanently deleting an application does not remove the associated user.
  • Permanently deleting a season does not remove users from your account.
  • The only way to remove users entirely is through permanent user deletion.
