Configure conditional fields

 

Conditional fields let you show or hide a field based on the value selected in another field. This helps keep forms clear and relevant by only showing questions when they are needed. Conditional fields are useful when you want to display a subset of options or ask follow-up questions based on a previous response.

Configure a conditional field

  1. In the Manage workspace, go to Applications 
  2. Click Edit form and choose your form
  3. Open an existing field or create a new field
  4. In the 'Conditional' section, select This field is displayed based on the value of another field
  5. Choose whether to show or hide the field
  6. Select the field to base the condition on
  7. Set the logic for the selected field response
  8. Enter the value linked to the original field
  9. Click Save

Use case: use a checkbox to show or hide fields

Conditional fields can be used to collect extra information only when required. For example, you can ask whether an applicant would like to add references. When selected, extra fields appear for the reference's name and email address. These fields can be marked as required. 

  1. In the Manage workspace, go to Applications 
  2. Click Edit form and choose your form
  3. Configure a checkbox field as normal
  4. Click Save
  5. Open an existing field or create a new field
  6. In the 'Conditional' section, select This field is displayed based on the value of another field
  7. Choose Show this field
  8. Select the checkbox field to base the condition on
  9. Select the is condition
  10. Set the value as 1—a checkbox can be either 0 or 1 where the unchecked value is 0 and the checked value is 1 
  11. Click Save

Use case: calculate how many fields to display

Conditional fields can control how many file upload fields are shown. For example, you can ask how many files an applicant wants to upload using a numbered drop-down. Additional upload fields appear based on the selected number.

  1. In the Manage workspace, go to Applications 
  2. Click Edit form and choose your form
  3. Configure a drop-down field with options for the number of fields to display
  4. Click Save
  5. Open an existing file field or create a new field
  6. In the 'Conditional' section, select This field is displayed based on the value of another field
  7. Choose Show this field
  8. Select the drop-down field to base the condition on
  9. Select the is any of condition
  10. Set the value that field selection and any higher; i.e. '1' for the first of three drop-downs, '2,3' for the second, and so on. 
  11. Click Save
  12. Repeat for additional values

Good to know

  • Not all field types support conditional logic. Unsupported field types include content, file upload (single), and formula fields. 
  • Conditional fields cannot be used on registration forms or in action flows.
  • Conditional logic uses field values, not labels.
  • Field values are case sensitive.
  • Country fields require two-letter country codes such as AU, GB, and CA.
  • Always test conditional fields before opening applications.
