Ultimate guide to rounds

A round controls when specific actions can take place in your program, such as submitting applications or completing reviewing.

Round types

There are three types of rounds:

  • Application round: allows applications to be created, edited, and submitted
  • Reviewing round: allows reviewers to view and evaluate applications
  • Feedback round: allows scores and comments to be shared

If a round is not open, the related action cannot occur.

Create a round

  1. In the Manage workspace, go to Settings > Applications > Rounds
  2. Click Add round and choose a form
  3. Enter a name (internal use only)
  4. Select a round type
  5. Set start and end dates—no assigned start date means the round is open immediately; no end date means the round is open indefinitely
  6. Click Save

Application round options

  • Review / resubmission ends: set a deadline for action flow or resubmissions
  • Chapters: limit the round to specific chapters

Reviewing round options

  • Scoring: reviewers can submit scores or votes
  • Viewing only: reviewers can view applications but cannot take action

Feedback round options

  • Visible to applicants: show feedback to applicants
  • Visible to reviewers: allow reviewers to see each other’s feedback
  • Anonymise reviewers: hide reviewer identities
  • Display total scores only: show overall scores only
  • Comments: include reviewing comments
  • Scores: include scoring data

Show a countdown to applicants

  1. In the Manage workspace, go to Forms
  2. Click the ellipsis (three dots) next to a form and choose Form settings 
  3. Open the 'Advanced' tab
  4. Enable Display countdown to submission deadline
  5. Click Save

Extend a round

  1. In the Manage workspace, go to Settings > Applications > Rounds
  2. Click the round
  3. Update the end date or time
  4. Click Save

Contact applicants about an extension

  1. In the Manage workspace, go to Applications
  2. Click Advanced in the search bar
  3. Set the Status filter to In progress
  4. Click Search
  5. Click Broadcast
  6. Send your message

Set a custom deadline for specific applications

  1. In the Manage workspace, go to Applications
  2. Click the application
  3. Click Set next to 'Custom application deadline'
  4. Choose a date and time
  5. Click Save

Good to know

  • Unless the countdown has been activated, rounds are not visible to users.
  • You can create unlimited rounds.
  • Extending a round does not notify users automatically.
  • Custom deadlines apply to individual applications only.
  • Applications with custom deadlines cannot be edited after submission.
  • A custom deadline can only be set on existing applications.
