Manually trigger and manage action tasks

 

Configuring action tasks is just the beginning of the process. Managing those tasks may take several forms, whether you need to manually initiate a task, delete one, reassign it, or reset a decision. Below you'll find steps on how to accomplish each of these.

Manually trigger action stage

If your action stage is not automatically triggered by application submission, you can manually trigger it. You might decide to use this feature if you'd like to trigger the action stage at a specific time in the future or if only certain submitted applications should qualify.

  1. In the Manage workspace, go to Applications
  2. Locate the application(s) you'd like to trigger the action stage for
    Tip: click Advanced in the search bar to quickly isolate the application(s) you're looking for.
  3. Select the checkboxes associated with the application(s) you need to initiate the action task for
  4. Open the Action drop-down
  5. Select Initiate action stage

  6. Choose the correct stage from the resulting drop-down
  7. Click Initiate action stage

Note: action tasks assigned to a referee cannot be re-triggered from this view. To send the task again, click Resend request when editing the application. To learn more see our guide: Configure a referee action.

Delete an action task 

You may need to delete an action task for a variety of reasons. For example, you may have created several tasks in testing the platform and wish to remove them. Deleting action tasks can be done individually or in bulk by using the Action drop-down. Here's how:

  1. In the Manage workspace, navigate to Action flow > Manage tasks
  2. Click the checkbox next to any task you wish to delete
  3. Open the Action drop-down at the top of the page
  4. Choose Delete

Reassign an action task

In the event that the action task assignee, called a 'reviewer', is unable to complete their task, managers can reassign that task to another user in the platform. 

Important: action tasks can only be reassigned to a manager within your account. In the future this functionality will extend to other users. If you need to provide this task to someone other than a manager, simply delete the task, update the application, and reinitiate the action task using the instructions above. 
  1. Navigate to Action flow > Manage tasks in the Manage workspace
  2. Click the ellipsis (three dots) next to the task you need to reassign
  3. Choose Reassign reviewer
  4. In the pop-up that appears, select your new reviewer from the drop-down
  5. If desired, choose a notification to send
  6. Click Reassign reviewer when finished
Tip: action tasks can be reassigned in bulk! Click the checkboxes next to your tasks and then open the Action drop-down and select Reassign reviewer

Reset an action task decision

If an action flow task recipient accidentally selects the wrong decision (configured with the 'Proceed' and 'Stop' buttons), it's easy to reset their choice. 

  1. In the Manage workspace, navigate to Action flow > Manage tasks
  2. Click the checkbox next to any decision you wish to reset
  3. Open the Action drop-down at the top of the page
  4. Choose Reset decision
