Form managers in Good Grants allows you to assign specific grant managers to individual application or grant report forms. This gives you granular control over who can edit forms and manage applications, without exposing your entire grant portfolio to every manager on your team.
Instead of all grant managers seeing and managing all forms by default, you can now define exactly who is responsible for each form and its associated funding stream. This is useful for large programs that run multiple grant opportunities across teams or regions, and need clear ownership and governance.
What form managers can see and do
Depending on their permissions, form managers can access these areas of the platform:
With Manage applications permission
- View applications submitted to the form in the Applications list view
- Review and manage applications for the form
- See the form in the Forms list
With Edit form permission
- View and edit the form configuration in Forms
- Edit fields, tabs, and categories for the form
- Reassign form managers and permissions
If a manager has only Manage applications permission and not Edit form permission:
- Form fields will be read-only—they will not be able to make configuration changes
- The configuration mode toggle will be disabled
- They will see the form in the Forms list but cannot edit it
In both list views and workflows
Form managers only see:
- Forms they have been assigned to
- Applications and grant reports for those forms
- Reviewing tools (score sets, reviewing panels, assignments) that relate to their assigned forms
- Categories, tabs, rounds, and fields that relate to their assigned forms
Form managers cannot see applications or funding streams they have not been assigned to. This keeps their view focused and reduces unnecessary access to sensitive applicant data.
Assign form managers to a form
By default, all grant managers can edit all forms and manage all applications. You can change this at any time by assigning managers to an application or grant report form.
- In the Manage workspace, go to Forms
- Click the ellipsis (three dots) of the form you wish to add managers to
- Choose Form settings
- Open the 'Managers' tab
- Select the Form managed by some managers radio button
- For each manager, use the checkboxes to select their permission level:
- Manage applications to allow them to view and manage applications for this form
- Edit form to allow them to edit form configuration
- Click Save when finished
Managers will now only see and have access to the forms and applications you've assigned to them.
Remove a manager from a form
When you copy a form or season, the manager assignments are duplicated as well. This means that the new form or season will have the same managers and permissions as the original. If you need different managers for any reason, they can easily be changed.
- In the Manage workspace, go to Forms
- Click the ellipsis (three dots) of the form you wish to add managers to
- Choose Form settings
- Open the 'Managers' tab
- Make your desired management changes
- Click Save
If you remove yourself from a form (or attempt to remove yourself without assigning another manager with edit permission), you will see a warning:
"You will no longer be able to edit this form. Are you sure you want to continue?"
This prevents accidental lockout from forms you are responsible for.
Good to know
- Form managers is a form-level capability, not a role. Chapter managers can be displayed in the managers list but their access is controlled through chapter settings, not form manager assignments.
- A form can be assigned to one or more grant managers, and managers can be assigned different permission levels across different forms.
- Form-level permissions work alongside your existing role-based permissions. Your role still determines what you can do across the platform as a whole.
- When a form is set to the default Form managed by all managers, all grant managers can edit all forms and manage all applications.
- Removing all managers from a form will return it to the default where all grant managers can edit and manage it.
