Configure role-specific forms

For most Good Grants accounts the default applicant role is sufficient as it provides a straightforward flow from registration to application creation to submission. Other programs may require more nuance. To fit this need, Good Grants supports role-specific forms. 

Note: while role-specific forms can be used with any plan level, programs on the Premium subscription and above will benefit most. Intro accounts have access to one form. Premium accounts may configure up to 10. Enterprise accounts come equipped with up to 20 forms with the ability to purchase more as necessary. To learn more see our pricing page

Who should use this feature?

Accounts where multiple forms will need to be configured and each form should only be visible to a certain portion of users should use this feature. 

Example: if your program has both regional and national forms, you may wish to configure a regional applicant role and a separate national applicant role. These roles can then be tethered to a specific form which will prevent the users from seeing a form that is not applicable to them; i.e. a national applicant seeing a regional form. 

Step 1: configure a custom applicant role

  1. In the Manage workspace, go to Settings > Users > Roles
  2. Click New role
  3. Assign this role a name

    Tip: it is recommended that your roles be named as clearly and granularly as possible to avoid confusion. If this role will be associated with only a certain form, add that form's name to the role; i.e. Regional applicant.
  4. At the top of the 'Permissions' module, click Advanced
  5. Set the Applications (own) permissions for Create, View, Update, and Delete to Allow
  6. If you wish for users to self-register for this role select the Registration form for this role is active checkbox--any user that accesses your program using the unique link generated, even returning users with other roles, will be given this role automatically
  7. Click Save when finished

Step 2: set the form as role-specific

If your program has not already configured a form, follow the steps outlined in our Utilising forms guide to do so. During the configuration process you will see an option to set the form's role visibility in the 'Advanced' tab of the form settings. For those who have already configured forms, follow these steps:

  1. Navigate to Forms in the Manage workspace
  2. Click the ellipsis (three dots) next to your form's name
  3. Choose Form settings
  4. Open the 'Advanced' tab
  5. Under the 'Role visibility settings' select the Some roles can start an application radio button
  6. Choose your desired role(s) from the list that appears

    Note: if a role is selected that does not natively have the required applicant permissions they will be added automatically.
  7. Click Save
