Importing users with Google Sheets importer

Using the Google Sheets importer available in the Integrations marketplace, you can import your organisation's users in just a few steps. 

Should I use this feature?

Importing your program's users from prior grant cycles can be critical--particularly if you're intending to also import historical applications. Most commonly, organisations decided to store data in one location to streamline searches when looking for previously gathered information. This, in turn, saves your team valuable time. 

The primary difference between importing your users via the Users page and importing via the Google Sheets importer is the use of user fields, or information that is tethered to the user themselves and not an individual submission. If your program does not have these additional fields, such as a user's company or address, follow the import instructions outlined in our Adding new users guide. 

What will I need to have prepared?

To facilitate the import of applications you'll need a Google Sheet populated with your program's users with columns for:

Importing users via Google Sheets importer

  1. Go to Settings > Integrations > Marketplace in the Manage workspace
  2. Under the 'Import' heading, click Google Sheets importer

  3. When the box appears, click Configure
  4. Provide a Name for your integration such as "Historical users import"
  5. Click Next
  6. In the 'Google Sheets Connection' box, click Sign In with Google

  7. Follow the prompts to sign into Google and authorise your connection
  8. When completed the following message will display instructing you to close the tab

  9. Back in Good Grants, click Next
  10. Input your Spreadsheet ID

    Note: this will be the long string of letters, numbers, hyphens, or underscores that appears in your spreadsheet's URL in Google.
  11. Choose On user import from the available toggle options before clicking Next
  12. Under the 'External resource' heading, choose the tab of your spreadsheet that you would like to import
  13. Because we're importing a list of users, choose Users from the 'Local resource' area
  14. Click Next
  15. Now that the source and destination have been set, it's time to pair your user fields with columns of the spreadsheet by clicking into the fields for First name, Last name, and Email and choosing the proper pairing

  16. Below, you can pair up existing user fields in Good Grants (the Local Field options) with those present in the spreadsheet (the External Field options) by clicking Add to Field Map button
  17. Repeat the process until all user fields have been paired before hitting Next
  18. In the final step, key in your email address for a report when the process has concluded which notes any errors that prevented import
  19. Click Finish when ready

The import process is not instantaneous and may time time to complete. Keep an eye on the email inbox provided for confirmation

Tip: if additional columns have been added to the spreadsheet after import, simply remove the Google Sheet and re-add it in the 'Resources' step. Your field mapping will be retained.
