Importing users with Google Sheets importer

You can quickly import your organisation's users using the Google Sheets importer available in the Integrations marketplace.

Why use this feature?

Importing users from previous grant cycles is especially useful if you also plan to import historical applications. Many organisations store data in a single location to streamline searches and save time.

The main difference between importing users via the Users page and the Google Sheets importer is that the importer supports user fields—information attached to the user record rather than a specific application.

What you'll need

Prepare a Google Sheet with columns for:

  • First name
  • Last name
  • Email
  • Any additional user fields

Step 1: access the Google Sheets importer

  1. In the Manage workspace, go to Settings > Integrations > Marketplace
  2. Under 'Import', click Google Sheets importer
  3. When prompted, click Configure
  4. Enter a name for your integration, such as "Historical users import"
  5. Click Next

Step 2: connect your Google account

  1. In the 'Google Sheets connection' box, click Sign in with Google
  2. Follow the prompts to authorise the connection
  3. Once complete, a message will confirm success and instruct you to close the tab
  4. Return to Good Grants and click Next

Step 3: configure your import

  1. Enter in your Spreadsheet ID—this ID is the long string of letters, numbers, hyphens, or underscores in your spreadsheet's Google URL
  2. Choose On user import from the toggle options
  3. Click Next
  4. Under 'External resource', choose the tab (sheet) you want to import
  5. Under 'Local resource', choose Users
  6. Click Next

Step 4: map your fields

You'll now pair the fields in your Google Sheet with those in Good Grants 

  1. For First name, Last name, and Email, click each field and select the correct pairing
  2. Click Add to field map to match additional user fields
  3. Repeat until all fields are mapped
  4. Click Next

Step 5: finalise the import

  1. Enter your email address to receive a completion report—this report will include any errors that prevented import
  2. Click Finish

The import may take some time. Check the email address provided for confirmation once the process is complete. 

Good to know

  • Imported users are given your program's default role.
  • If you add new columns to your spreadsheet later, remove and re-add the Google Sheet under 'Resources'—your field mappings will be retained.
