Action flow: post-grant reporting
You may want to check in with your applicants once grants have been distributed to get updates on how they are using the money and what progress has been made. You can use action flow to capture this information.
Action flow configuration
Step 1: configure user fields
- Navigate to Settings > Applications > Form editor
- Configure your application field as normal
- In the 'Access' area of the configuration tray, deselect Write and Read access to hide the field during initial application
- Save
Step 2: configure a notification
- Go to Settings > General > Notifications
- Click New notification
- Select Action stage started from the Trigger dropdown
- Add a subject line and compose your message, making sure to include the {review_url} merge tag--this is what generates the link your users will click on to access the task
- Save
Important: to comply with local laws, SMS notifications cannot be sent to UAE residents between the hours of 9pm and 7am.
Step 3: configure the action flow
- Go to Settings > General > Action flow
- Click New action stage
- Give the action stage a name
Note: the name is for manager reference only. - Leave the Start stage checkboxes blank in order to manually trigger the action stage
- Select Action by applicant
- Select the notification you just created from the Notification drop-down
- On the Action page tab, select the fields that should be visible in the action flow and configure them as Read-only, Write, and/or Required
- On the Proceed/Stop tab, add the button labels and status (ex. Submit, Decline)
- Save
Once your action stage or stages are configured, manually trigger them via Applications > Manage applications.
Manually trigger an action flow
- Go to Applications > Manage applications
- To send to multiple applications at once, check the boxes to the left of the applications and from the Action drop-down, select Initiate action stage; to send to a single application, click the three dots icon to the left of the application and select Initiate action stage
- Choose the action flow from the dropdown
- Click the Initiate action stage button
